Processing of personal data under the Swiss FADP / GDPR

1. Controller

iConference AG, Grafenaustrasse 15, 6300 Zug, Switzerland (commercial register no. CHE-449.862.298, VAT no. CHE-449.862.298 MWST) — [email protected]. We process personal data carefully and solely within the bounds of the applicable law.

2. Processing when you contact us

When you write to us via the contact form or by email, we process the data you provide (e.g. name, email address, message) solely to handle your enquiry and any follow-up questions.

3. Server log files

When the website is accessed, technically necessary data (e.g. IP address, browser type, time of access) is processed temporarily to ensure operation, security and stability.

4. Cookies and reach measurement

This website uses only technically necessary means. No tracking or advertising cookies are used for profiling. Fonts and scripts are served locally.

For privacy-friendly reach measurement we use Cloudflare Web Analytics. It does not set cookies, does not store personal data and does not create cross-site profiles; a small measurement script is loaded from Cloudflare. This serves solely to understand how the site is used. Cloudflare Web Analytics is subject to Cloudflare's privacy policy.

5. AI-assisted services

We use AI systems (including retrieval-augmented generation) for our consulting work. Company-specific knowledge remains in a curated knowledge base and is not used to train models. Sensitive data can, on request, be processed in Switzerland or with local models.

6. Data hosting and service providers

Our website is hosted and served via Cloudflare (Cloudflare, Inc., USA). When you use the contact form, Cloudflare processes the submitted data as part of delivery. Incoming enquiries are processed as email via Microsoft 365 (Microsoft Corporation, USA) and stored in our mailbox. Both are US companies; processing or access in the USA cannot be ruled out. We rely on the contractual safeguards provided by these vendors (including standard contractual clauses). When using frontier models abroad, we additionally apply anonymisation and contractual safeguards.

7. Chat assistant

Our website offers an AI-assisted chat. Your input is processed to generate replies via the API of Anthropic (Anthropic, PBC, USA); the data is not used to train the AI models. We store the conversation for at most 30 days and delete it automatically thereafter. If you share contact details in the chat (name, email, phone), we use them solely to handle your request — no mailing list, no advertising. To prevent automated abuse we use Cloudflare Turnstile. It runs invisibly in the background (no “are you human?” click puzzle), is loaded only when you open the chat, and serves solely to block abuse — not to track or profile you. Turnstile is subject to Cloudflare's Turnstile Privacy Addendum.

8. AI training (online course)

For our online course at training.iconference.ch we maintain course accounts. On registration we process your name and email address; access works via a sign-in link sent by email (valid for 15 minutes, single-use) and a session cookie (90 days) — it serves sign-in only, not tracking.

Linked to your course account we store on the course platform (hosted on Cloudflare, see section 6): your learning progress per unit, your course preferences (work area, tone, form of address), issued certificates, your answer to the voluntary pricing question, any unlocked paid modules (with timestamp and invoice reference), and your deliverables: short verbatim excerpts from your learning dialogue — the details you give about your own business and the result blocks you develop in the dialogue, each trimmed to a few hundred characters. These excerpts may contain business information. They are saved continuously during the dialogue and serve solely to let you continue on another device and to let later course units build on your results. They are not read, not used for advertising and not used to train AI models.

Your dialogues with the AI learning guide are processed to generate replies via the API of Anthropic (Anthropic, PBC, USA); the data is not used to train the AI models. We do not store complete conversation histories on our systems — they remain locally in your browser; the platform holds only the excerpts described above.

We keep course account data and deliverables for the lifetime of your course account. Restarting a unit deletes the conversation history in your browser; the saved deliverable excerpt is only replaced when you rework the unit. To delete your course account or individual deliverables, simply email [email protected].

Orders placed via the order form are processed solely to handle the order; an attached order PDF goes as an email attachment to our mailbox (Microsoft 365, see section 6) and is not stored elsewhere.

9. Your rights

To exercise your rights, simply email [email protected].
